How do I import a student list if some students don’t have IDs yet?

Purpose: Help districts import student data into EZRouting when official student IDs are missing for some students.

Why student IDs matter

EZRouting uses a unique student ID to:

  • Match records between the SIS and EZRouting.

  • Prevent duplicate records.

  • Track a student’s routing history over time.

Missing or duplicate IDs can cause import failures or duplicated students.

Recommended approach

When official IDs are not yet available, use temporary IDs that you can safely replace later.

Step 1 – Create temporary IDs

  1. Export or prepare your student list from the SIS or registration system.

  2. For each student missing an ID, assign a temporary unique ID, such as:

    • A prefix plus a sequence: TEMP0001, TEMP0002, etc.

    • A structured ID based on school and grade (as long as each student is unique).

  3. Record your temporary IDs in a secure place so you can map them back to official IDs later.

Step 2 – Import the file into EZRouting

  1. Confirm your file includes:

    • Student ID (official or temporary)

    • Name

    • Grade

    • School

    • Address

  2. Use the standard Import Students process in EZRouting.

  3. Map the Student ID column to the ID field in EZRouting.

  4. Complete the import.

Step 3 – Replace temporary IDs with official IDs later

When official IDs become available:

  1. Export a list from your SIS with the official IDs and enough fields to match students (name, DOB, grade/school).

  2. Create a mapping between temporary IDs and official IDs.

  3. Depending on your integration:

    • Work with your SIS/IT team to update EZRouting via the integration, or

    • Use an EZRouting‑supported update process (such as a bulk update) if available in your configuration.

Important: Do not reuse temporary IDs for different students. Each ID should remain unique to one student only.

Alternatives and cautions

  • Avoid leaving the student ID field blank. This increases the risk of:

    • Duplicate records when new data is imported.

    • Difficulty tracking changes for individual students.

  • If you are unsure how your SIS integration will handle ID changes, consult your SIS/IT team before importing.
