Audience: Transportation admins and staff
Purpose: Create and manage transportation staff records, assign staff to routes, control availability, track certifications, and report on staffing operations.
Overview
The Staff section is used to manage all personnel involved in transportation operations, including drivers, monitors, and aides. Staff records connect people to routes, vehicles, schedules, and compliance requirements.
Use this section to:
- Create and maintain staff records
- Define staff roles and types
- Assign staff to routes
- Control availability and scheduling
- Track certifications and compliance
- Review staffing reports
Batch Edit
Just like all other tabs, staff information can be batch edited. To do this, first filter for the staff you would like to edit, then open the Batch Edit menu. From here, you can update multiple staff records at once.
Staff User Management
The Staff User Management page allows you to manage staff accounts. On this page, you can view driver IDs, first and last names, account type, primary phone number, email address, and whether the staff member has created an EZRouting account.
If drivers will be using the SafeDriver 360 app, you must first create Route Builder accounts for them. Once those accounts are created, drivers can log in to both the EZRouting system and the SafeDriver 360 app.
Real-Time Notifications
Real-time notifications can be sent to staff in the same way they can be sent to students or administrators. To send a notification:
- Filter to the staff members you want to contact.
- Click Real-Time Notifications.
- Create your message, choose whether to send it as a text or email, and optionally attach a file (attachments are available for email messages only).
When you are satisfied with your message, click Send.
Driver Info
When you hover over the three dots next to a driver’s name, the following options are available (from left to right):
- Send real-time notification to staff
- Delete staff
- Edit staff location
- Edit staff
Edit Staff
The Edit Staff window contains several menus:
- General: View and edit key information about your staff member, including name, ID, license number, license restrictions and endorsements, physical exam date, and more.
- Addresses: Add or update the staff member’s address.
- Contacts: Add or update staff self-contact information and emergency contact information.
- Comments: Add important notes or comments related to the staff member.
- Calendar: View which vehicle and route a driver is assigned to on any given day. The top of this menu displays a color-coded calendar; the bottom shows detailed information about the bus and route.
- Attachments: Add and manage relevant documentation for the staff member.
What a Staff Record Controls
A staff record defines:
- Staff member name and contact information
- Staff type (role)
- Availability for scheduling
- Route and vehicle assignments
- Certification and compliance status
Staff records are referenced by Routes, Vehicles, and Reports. Accurate staff setup is required before assigning routes or generating manifests.
