SIS Integration Guide

Audience: System administrators and transportation data managers
Purpose: Understand, configure, and maintain your Student Information System (SIS) integration with EZRouting for consistent, automated student data synchronization.

Overview

Integrating your SIS ensures EZRouting always reflects the most up-to-date student information — from enrollments and addresses to grade and session assignments. This guide covers setup, field mapping, sync frequency, and troubleshooting best practices.

Benefits of Integration

  • Eliminates manual entry: Automatically imports student records nightly or on demand.
  • Improves accuracy: Reduces human error and duplicate data.
  • Supports real-time decisions: Keeps route planning, eligibility, and reporting current.
  • Ensures compliance: Maintains consistency across district systems for audits.

Key Concepts

Term Description
Field Mapping Defines how SIS fields correspond to EZRouting fields.
Sync Frequency Determines how often data is exchanged (e.g., nightly, hourly).
Import Logs Show import success, errors, and skipped records.
Primary Key The shared unique identifier — typically the Student ID.

Configuration Steps

  1. Request a secured SFTP link from your specialist.
  2. Import SIS file into SFTP.
  3. Specialist will configure Field Mapping for Students, Schools, Sessions, and Addresses based off file.
  4. Inform your specialist your desired Sync Frequency (manual, daily, or real-time).
  5. Review New Change Requests after the first sync for errors.

Verification Checklist

  • Student count in EZRouting matches SIS totals.
  • School and grade mappings align.
  • Address fields display valid coordinates.
  • No missing or duplicate Student IDs.

Maintenance & Best Practices

  • Review New Change Requests daily for skipped or failed records.
  • Reauthorize API keys annually or when SIS credentials change.
  • Coordinate import schedules to avoid overlap with manual data loads.
  • Document all field mappings and keep a backup copy of your configuration.

Troubleshooting Common Issues

Issue Possible Cause Resolution
Students missing after sync Field mapping mismatch Verify mapping for Student ID and School fields
Duplicate records SIS sending outdated data Clean SIS export and re-run import
Connection failed Invalid credentials or expired token Re-enter credentials and re-test connection
Partial updates Sync frequency overlap Adjust to non-overlapping schedule

When to Contact Support

If data discrepancies persist after verifying mappings and credentials, export the Integration Log and contact Pathwise Support with the file attached. Include:

  • SIS provider name and version
  • Date/time of the failed sync
  • Description of the issue
