Linkable Requests and Linked Records

Audience: Transportation admins and staff
Purpose: Link student records that come through the SIS nightly data sync as a New Change Request to an existing student record in the routing site. If the new student information matches the existing student record a linkable request will trigger. This information could be Student ID, First/Last Name, Address, Contacts. 

Steps

  1. Navigate to New Change Requests in Settings. Linkable Requests will appear in the top header with the number of Linkable Requests. 
  2. Under Actions select View to open the request. 
  3. The new request will open on the right hand side of the student profile. The similar student record that already exists will appear in a blue bar. The new request will appear below. 
  4. Cross check the information to ensure it is in fact the same student. 
  5. If it is the same student, select Link under Operations in the existing record in the top bar.
  6. If this is a separate student with similar information, select Decline. 
  7. The existing student record will remain in the system.
  8. If the records are not linked a new record will be added to the site.
