Link Duplicate New Student Requests

Audience: Transportation admins and staff
Purpose: Prevent the creation of duplicate student records by linking related requests when the system identifies a new student request with the same name and date of birth as an existing student record.

Steps

  1. Click your profile icon in the right-hand side of the toolbar.
  2. Select New/Change Requests from the drop-down menu.
  3. Flagged requests are identified by a caution icon on the request's row in the New/Change Requests table.
  4. Filter for just Linkable Requests by clicking the header at the top of the table.
  5. Click View for the linkable request to load a side-by-side view of the existing student record and the flagged request.
  6. Review the student and request details to confirm the student record and request are for the same student. 
  7. Click Link Record next to the student information at the top of the request to convert the New Student Request to a regular Change Request. 
    • If the Change Request is accepted, the existing student record will be updated and a duplicate student record will not be created.

Tips

  • Use this feature to maintain traceability between routing, attendance, and transportation requests.
  • Linked records update dynamically when changes occur in the connected source.
  • Limit linkable request creation to users with admin or editor permissions.
